The privacy score summarizes the quality of the privacy system and the degree of adherence to the GDPR. It is the result of the elaboration of an algorithm that takes into account the completeness of the information surveyed regarding the organization's personal data, the registers of operations, privacy policies and, if they exist, the impact assessments and violations. With the Dashboard and the Privacy Score you always keep under control the status of the privacy system of your organization.
The Smart Assessment is a tool to determine the maturity level of an organization's privacy program and lay the foundation for planning all necessary compliance activities.
The owner user coincides with the person who creates the domain. It is the one with the most privileges. He has read and write access to any data. He can manage other users and is the only one who can make purchases.
The administrator user has read and write access to all organizations in the domain without any limitations. He can manage collaborators and base users but cannot make purchases.
The contributor user cannot create other users, accesses a subset of the organizations in the domain. He can modify organization data (if authorized) and can contribute to the management of the operations registry. His contributions must always be approved by an administrator user or the domain owner.
The basic user has read-only access to the data of the organizations he has been enabled to see. He cannot make changes or create other users.
With advanced management you can create domain administrator users who have read and write access only and exclusively on specific organizations that are part of the domain. This is useful, for example, if a company group appoints people from different organizations as responsible for the correct implementation of privacy processes.
All contributor-type users can contribute to the operations registry. Each contribution must be approved by an administrator or owner before it becomes effective.
For business groups, the owner register is automatically created from the register of the group's internal manager(s).

for one or more customers you will have to buy the PRO or PRO PLUS plan from the menu Subscription > Manage. - When you renew the previous 10 the price will be adjusted according to band 21 - 40

- You have a total of 27 customers, 21 PRO and 6 PRO PLUS
- The price of the 6 PRO PLUS customers will be adjusted according to band 6 - 20
Each customer's price will remodel based on the total number of customers and based on the subscription plan you have chosen.

You can customize it during registration / account creation and from then on you will have your own address to share with your users, your collaborators or your customers.
An organization is a company (single business name) that you can add to your domain. For those who offer privacy consulting services it coincides with a client. For those who deal with privacy internally coincides with your company. Each organization can be spread over several locations and for each location can or must be prepared (depending on the case) a specific register of operations.
With UTOPIA you can export in Microsoft Word (.docx) format all the documents you need to prove you are GDPR compliant (such as the operations register or the operation personal data authorization documents). Each document has a default template in Microsoft Word format (.docx) that you can customize. For example, you can change the fonts, layout, colours and content (with data in your account) to suit your needs or those of your clients.
When you create your domain you have a 14-day free trial of the PRO PLUS (if you offer privacy services) / ONE PLUS (if you are a business) plan which includes all features, including advanced features. At the end of the trial each organization / client added switches to the ESSENTIAL plan that provides the essential services of preparation for GDPR compliance.
With the ESSENTIAL plan you can add new customers/organizations at any time, modify their data, census managers and authorized, or map assets. No purchase is required at this stage.

for one or more organizations/customers you can buy them from the menu Subscription > Manage passing, for each one, from the ESSENTIAL plan to the PRO / PRO PLUS plan (for consultants) or ONE / ONE PLUS (for companies).
A wizard allows you to choose which organizations/clients to purchase, the billing cycle (annual or monthly), payment method, and billing information.
If, at a later date, you need new organizations/customers, you can purchase them with no strings attached by choosing between monthly or annual billing.
It depends on the duration of the payment cycle. If you choose annual (taking advantage of a discount) the subscription duration is 365 calendar days. If you choose monthly it is renewed every month. In both cases you can cancel it before the natural renewal.

You can purchase a subscription directly from within your account from the Subscription > Manage menu. For the moment we accept Credit Cards (Visa/Mastercard/Amex) and Sepa Direct Debit (SDD). Invoicing will be done every first of the month and will refer to the purchases you have made in the previous month.
All payments are made using a secure protocol with 256-bit encryption and all transactions are handled by our partner Stripe, the world leader in online payments that handles billions of Euros on behalf of innovative companies from all over the world. Payments are handled automatically by our partner Stripe. Depending on the payment cycle you have chosen, we will attempt the transaction monthly or annually. If the first attempt is unsuccessful we will try three times within a week without interrupting the service. If the last attempt is unsuccessful, we will provide you with all the details you need to identify the problem and retry the payment (e.g. by telling you that your credit card has expired). In this case, only the owner of the domain (the one who created it) will have access to the platform and will have to solve the problem and retry the payment.
If you cancel a subscription for an organization/client you can continue to use all the services for that specific organization/client, without any limitations, until the natural expiration of the subscription.
After expiration the organization / client will switch to the ESSENTIAL plan.
Every first of the month UTOPIA makes available the invoices related to the purchases you made in the previous month. To download the invoices simply access the menu Subscription> Invoices within the app. From here you have access to all the invoices in PDF format. You can download them to keep a digital copy or print them out.
You can add to your domain, from the Organizations menu, as many clients as you want and purchase them through the Subscription > Manage only when you need them without any time constraint.
First of all, we would be very sorry. However, you don't have to worry about this. You can export the data you have entered so that you can use it in other systems or work with it offline. You can also exercise your right to be forgotten and independently destroy your domain (domain owner only) from the menu Settings > Account > Destroy Domain.
