Choice of legal basis, authorization of employees and documentation

  • New fields: we have added new fields to the operations which allow an even more detailed description of them. All in a perspective of accountability.
  • Legal basis: the management of the legal basis has been moved from theprivacy policy to the tab of the operation. This means that when the user creates a operation he can, at the same time, also deal with this without waiting to generate the'privacy policy privacy. Finally, all data, both existing and new, will be collected only within the tab of operation.
  • Retention: we have added the possibility of indicating, for each category of personal data, the retention period or, alternatively, the criteria that must be used to determine it. This change accommodates a fundamental requirement of the new regulation that requires us to specify, for each operation and for each category of data contained therein, the retention period.
  • Export of appointment letters for managers: we have improved the layout of the appointment document and its content, added a new appointment template completely dedicated to system administrators. The new feature applies to both legal entities and individuals.
  • Export of the authorization document to operation: also the print layout of the appointment document has been improved in content and a new template completely dedicated to system administrators has been added.
  • Head of function as authorized: it is possible to add among the authorized to operation also the head of function in an automatic way without having to census his data manually. To do this, simply indicate his tax code.
  • Permissions for Contributors: A new mode of sharing operations is available for contributor-type users. You can choose between 3 sharing modes: by organization, by registry and by operation. None is mutually exclusive, and all together provide maximum flexibility and control over access management.
  • Improved layout and fixed glitches: we improved the layout of some pages in the app and fixed some minor glitches.

operations, export records and assets

  • Newdashboard: the new dashboard shows a complete picture of the activity status of all existing organizations and allows you to search and sort them according to different criteria and advanced modes.
  • Improved log export: exporting a log can be done either from the list of logs of each organization or from the detail page of each individual log.
  • New process field in operations: We have added the Process field in operations to allow you to detail how certain operations are performed.
  • Asset Repository: From today it is possible to census an asset without the need to refer it to a operation, but with the sole purpose of registering it in UTOPIA and using it in case of need. This type of asset will not be evaluated when calculating the % of completion of an organisation's data.
  • Miscellaneous improvements: fixes malfunctions and optimizes performance.

Dashboard and UTOPIA Privacy Score

  • New Company Asset Filter: You can filter an organization's assets so you can focus on the ones that matter to you.
  • New way to navigate the app: you can navigate the app's content using the browser's forward and back arrows. One-click access to app screens (or specific sections of the app) and side tabs. Navigation becomes easier and smoother.
  • Dashboard(BETA): the new dashboard shows the completion status of the different activities you can perform with UTOPIA. It gives you an overview of the status of your organizations and allows you to focus on the actions you deem necessary.
  • UTOPIA Privacy Score(BETA): the privacy score indicates the quality of the privacy system and the risk to which the organization is exposed. It is the result of an algorithm that takes into account the following factors: the completeness of the information regarding the organization's master data, the records of operations and, in the case of privacy policies, the impact assessments and violations.
  • Miscellaneous improvements: fixes a few glitches and optimizes performance.

Data completion rate, assets and rights of the data subject

  • Task completion system: we have introduced a system to calculate the percentage of task completion so that you can understand, for example for a operation, how much work you still have to do.
  • Disable UTOPIA logo in prints: by accessing the new section Settings > Prints you will be able to remove the UTOPIA logo from all the documents produced by the app.
  • External assets from managers: it is now possible to map assets that reside from the managers of a operation (e.g.: from a service provider).
  • Grouping of assets: To make it easier to consult the assets, we have grouped them into: internal assets of the organisation, external assets from the owners (for the managers) and external assets from the managers (for the owners).
  • Select rights to include in privacy policies: you can decide which rights to include or exclude in the print directly from the Rights section of theprivacy policy tab.
  • Improved printouts: we have improved the layout of some printouts by removing non-mandatory and unfilled data from them, thus increasing their clarity and readability.
  • We also fixed minor malfunctions and improved the performance of the entire system.

operations, model register and impact assessment

  • operations registry template: for similar organizations, you can create a registry from a template you set up. From it, you can create others for the organizations you want, saving valuable hours of work;
  • Duplication of operations: you can duplicate an entire operation without having to manually copy all the data. From one registry to another and even between registries of different organizations;
  • Automatic DPO addition: When an organization has only one DPO this is automatically added to operations, without doing it manually each time;
  • Improved printing of registers: data that you do not fill in and that is not mandatory will not be included in the register. This makes it more compact and improves readability;
  • Classification of economic activities: the registry models of operations and organizations have in common the type of economic activity that is used to apply a certain model to a given organization. We have adopted the NACE Rev. 2 (L2) classification. We suggest you to correctly classify organizations to use the registry models;
  • DPIA Summary Outcome: added a new field allowing to specify the outcome of an impact assessment;
  • Improved content organization in forms: we have improved the layout of fields within forms to facilitate consultation and improve overall usability;
  • Improved domain deletion: exercise your right to be forgotten by destroying all your data even from our backups. To do so, go to Settings > Destroy Domain;
  • New asset type: Virtual server;
  • We also fixed minor malfunctions and improved the performance of the entire system;
