Multiple templates, predefined catalogs, and new update time.

  • Multiple custom templates
    As of today, there is no limit to the number of custom templates. Now, for each template you even upload more than one document and when exporting choose which one to use.
  • Folders in violations
    We have added folders in the violations section as well, so you can organize your log as you like.
  • New Assistant Suggestions
    Improvements continue on MIA, the assistant to operations, is now also capable of suggesting personal data types for the most frequent operations .
  • operations in the export of managers
    We also added the column dedicated to operations within the managers report in CSV, so you don't have to download the logbook as well to get this information.
  • Default Catalogs
    A change that many people have been waiting for for a long time, now in the catalogs section you also display the items used among the default UTOPIA catalogs, so you have all the information you need in one place.
  • New update time
    We have changed the regular update time that we do every two weeks to include new features or improve existing ones, it is now scheduled for Wednesdays at 6:30 pm.

Log templates, synchronizations, and new tips

  • Synchronization of operations
    We have included a new feature that allows you to keep a operation synchronized in both registers, either as an owner or as a manager. This way you only edit it once.
  • Registry template without constraints
    As of today, when you create a registry template, it is no longer mandatory to indicate the ATECO code, so you can apply it to as many organizations as you like.
  • New Assistant Suggestions
    Improvements continue on MIA, the assistant to operations, is now able to suggest categories of personal data, legal bases and retention times for the most frequent operations .

Activities of managers, multiple changes, and DPIA criteria

  • Filter operations by purpose
    We have added a new filter to the registry that allows operations to be viewed also by the purposes entered.
  • Create a user from the function manager
    From now on, when you enter the data of a function manager, you create a new user directly from the board. This saves time and avoids re-entering data.
  • Select asset folders on operations
    Improvements on asset management continue: with this update you also link asset folders, if any, to individual operations .
  • Use evaluation criteria
    There is now a new section for evaluating operations: in the IMPACT section of operation we have included the 9 criteria from the European guidelines that help determine whether or not an impact assessment is needed for a particular operation .
  • Set information for multiple operations in just a few clicks
    With this update you also edit multiple operations with a single operation, select the ones you prefer, and the data entered are saved for all the operations indicated.
  • Enter theactivitiesof the managers of operation
    Managing the managers of
    operation is now easier: we have included the possibility of also indicating on operation the activity carried out by the manager. Very useful in cases where, on the same operation, there are more than one manager or when a manager is involved in more than one operations.

Register without attachments and search for authorized and assets

  • Register without attachments and search for authorisations and assets.Download the operations register even without attachments
    Now, when downloading a register or report of operations choose whether to include attachments as well, so the process is faster.
  • Search for an authorized person also by tax code or matriculation number
    From today, through the list of authorized persons, in addition to first and last name, you also search by tax code or matriculation number, so it is easier to manage authorizations at operation.
  • Create new assets from manager's card
    Improvements on asset management continue, with this update you also create them directly from a manager's card.

Management of security measures, legal bases and data retention

  • Data retention by owner
    We have improved the management of retention times within the registry as a manager. Now, choose whether to indicate data retention times and criteria also according to the different holders on a operation.
  • Catalogue of security measures
    There is now also a catalogue of security measures. From now on, when you enter a new security measure on operation it is also automatically entered into the catalogue so you can use it when necessary.
  • Multiple legal bases
    You now have the possibility of entering the same legal basis for several purposes in a single transaction, thus avoiding the need to open individual purposes one by one and saving time.
  • Security measures on the manager
    The improvements on the management of security measures continue. With this update, we have also included them on the card of a manager at operation. In this way, the measures indicated are automatically shown on the externally entrusted operations .
