Full organization report, text search of users and export procedures

  • Organization report: for each organization you can export a report, in Microsoft Word format (.docx), that collects and shows all the information about it.
  • Optional assets: to facilitate and speed up the compilation of a operation it is no longer necessary to add any assets.
  • Text search for users: to more easily find the users you have given access to your domain you can search for them by first name, last name or email address.
  • Export procedures: when you export a register of operations, for each operation contained within it you will also find all related procedures.
  • Extended legal bases: you can specify the legal bases for operations of special categories of data more precisely by also selecting the exceptions of Article 9 GDPR.

Privacy Chart, guided tour and customized login page

  • Privacy Chart (BETA): displays the data entered in UTOPIA through an elegant full-screen chart. To use this feature access the General section of an organization and click on the new icon next to the percentage of completion.
  • Guided tour of the application: we have introduced a tour that shows the features and tools that UTOPIA puts at your disposal the first time you log in. You can always review it by going to Settings > Account > Show Guided Tour.
  • Custom login page: you can upload your company logo and show it during login to all users of your domain. Go to menu Settings > Account and upload the image in the dedicated card.
  • Organigramwith procedures: for each element of the organigram you will also see all the related procedures. To view them go to Organizations > Organizational Chart and click on a single element.
  • Users grouping: in order to optimize your work we have reorganized the users section distinguishing between basic users and administrators.
  • Details on all legal bases: We have further improved the choice of legal bases at operations. For each one you can specify the content via a free text field.

Enhanced procedures, personal data operations and update reminders

  • Users list in alphabetical order: we have reorganized the list to facilitate your work and speed up the search for collaborators and domain users.
  • More detailed legal basis: when you select legal obligation as the legal basis of a operation, you can also specify the legal reference thanks to a new dedicated field.
  • New field in procedures: We've added the Type field to help you better organize and categorize your procedures. You can fill it in using predefined entries or create new ones according to your needs.
  • Update reminder: we are constantly improving UTOPIA in order to give you a software that lives up to your expectations. Before releasing a new update you will be notified so you can better organize your work.
  • Link procedures to the organization chart: to increase the level of accountability of your organization you can indicate which elements of the organization chart are involved in certain procedures.
  • Indicates the operations performed on the data: we have added the possibility to specify all the operations performed on personal data by each element of the organization chart involved in a operation.
  • Approvals Alert: To speed up the approvals process, an automatic email will flag employee changes awaiting approval.

Enhanced operations and asset management, data import and e-invoicing

  • Electronic Invoice: in order to comply with the new invoicing obligations we have added two new fields in the subscription section where you can enter your pec address and recipient code.
  • Improved manager section: access a manager's assets directly from their card.
  • New information available in the assets: we have added the fields make, model and year of purchase. You will also find this information when you export the assets in CSV format.
  • Add contextually: in the operations section we have improved the function that allows the contextual addition of co-owners, managers, representatives, DPOs and assets.
  • Data import path: if you need to import data from an Excel sheet, a CSV file or any other external system send us a Feedback or write an email to info@utopiathesoftware.com and we will give you all the information you need.
  • Usability improvements and bug fixes: we've fixed some bugs and improved the overall usability of all data entry cards.

Compact privacy policy, sub-director assets and domain recovery

  • Domain recovery: in addition to the password you can also recover your UTOPIA login address. If for example you don't remember it, just click "retrieve domain" in the login screen.
  • Sub-manager assets: Greater control over the company's tools and their location thanks to the possibility of also recording and managing the assets used by the sub-managers of a operation.
  • Address book for quick entry: We have also included the address book function for operation and for authorised persons, which saves valuable time when entering data.
  • Compact Privacy Policy: privacy policies more concise and understandable in content as required by the GDPR. This is the new compact format that, from today, joins the extended format without leaving out any of the elements required by art. 13 of the regulation.
  • Approval badges: to improve the activity of the contributor user, a badge has been added on operation that highlights and reminds him which ones are still waiting for approval.
  • Visualization operations: for each asset or for each element of the organization chart you have the possibility to visualize all the linked operations .
  • Management of security measures: the management of security measures is faster, after entering them on a operation you can set them automatically for the next operations .
  • Quick access to the app: the new "Login" button, on the UTOPIA homepage, allows you to open the app directly from the website.
  • Unlimited note fields: you can write comments and more detailed descriptions in all UTOPIA note fields. These fields are no longer limited to the number of characters you can enter.
  • Editing locations: to give more freedom in the management of locations now you can add or delete them even on a register already created.
