Interactive guided tour and customization of privacy policies digital

  • New interactive guided tour
    When you create a new domain, you have at your disposal a new guided tour of the application that allows you to get acquainted with all the features of UTOPIA and explains through examples how to enter the necessary data to get started.
  • Customizable automatic emails
    When you use the digital sending of privacy policies you have the possibility to include also the logo of the organization inside the invitation email, in this way you personalize the request respecting the information obligation of the owner of operation.

New Tutorial section and customization of notifications

  • Customizing theSender of Notifications
    Customize the sender of the email that contains privacy policies privacy so stakeholders can more easily recognize the sender of communications. Go to an organization's Settings and enter the Notifications tab.
  • New section dedicated to tutorials
    You have over 50 new free video tutorials available directly in your account. The videos last a few minutes, are searchable by keywords or topic and are organized in sections. So you learn faster and become an expert in UTOPIA.

DPO activities, risk matrix and email consent summary

  • Exporting the risk matrix
    We have inserted the risk matrix into the evaluation report of a operation. This way you can see the risk value at a glance and focus on the measures to be applied.
  • Summary email to the interested party
    When your interested parties view aprivacy policy they will receive an email with a summary of their consent, a useful tool that allows you to better comply with your duty to inform.
  • New report for the authorized
    We have created a new report dedicated to the authorized, export it directly from the organization chart and keep under control in a simple way all the people who are involved in operations.
  • Email summary of consents
    Indicate which users will receive notifications of their preferences. Add their email addresses, so it's easier to track consents, especially in case of revocation.
  • Edit operations from the organization chart
    With this new feature you can edit operations directly from the organization chart, making it easier to keep the register up to date.
  • Management of DPO activities
    You have a new feature dedicated to the management of DPO activities, keep track of every intervention made by the data protection officer.

Instructions to operation, responsible reports and history of changes on records

  • History of changes on logs
    We have included the activity tab within each log, now easily access all the history of changes made, for example on a operation or privacy policy.
  • List of operations enhanced
    Now, you can filter the operations of each registry by the organizational chart element involved, so you can easily focus on just the operations s you're interested in.
  • Instructions to operation centralized
    Now, in both the instructions field on the authorizer's tab and the operation tab, you can link organizationally defined procedures. This way you no longer have to worry about rewriting instructions each time.

  • Duties and tasks on the authorized

More power to the employee and automatic withdrawal of consent

  • Automatic revocation of consent
    We have improved the management of data subject rights, with this update, if the purposes of the operations you enter into a privacy policy do not require consent, then automatically the right of revocation will be removed. This way you are sure not to forget anything.
  • Contributor user improved
    From today also the contributor user can use the procedure of sending privacy policies and digital consent management, moreover, for the only operations on which he has visibility, he can also carry out the evaluation of legitimate interest.
  • Organizational Report Simplified
