DPIA Annexes, Custom Legal Bases, and Registry Templates
- Attachmentson the DPIA
We have added the attachments section to the tab of a DPIA as well to improve document management, you can upload any document within a single impact assessment and download it when you need it.
- Ateco code no longer compulsory
For all organisations that do not have an economic activity but process personal data, it is no longer compulsory to enter the ATECO code. In this way it is easier to census the data of an organization you are managing.
- New functions for basic and collaboratorusers
You have the possibility to restrict the download of only the attachments of privacy policies for basic and collaborator users, very useful if you do not use the standard template but have uploaded your privacy policy as an attachment.
- Create a template from alog
Create a template from an organization's operations log. Simply select the operations and copy it into a template, so you can use it whenever you want.
- Customization oflegal bases
The legal bases are also customizable, for each purpose of a operation choose the legal basis from the list or enter your preferred entry. Useful in all those cases where you want to indicate more details in relation to the assumptions of lawfulness used.

DPO data, copy of operations and data availability
- Data availability
We have changed the field regarding the availability of data in case of a crash. You have a free text field where you can indicate how long it will take for the processed data to be available again. Go to the tab of a operation and open the Storage section.
- Copying operations
Even the collaborating user has the possibility to copy operations from one register to another, this way you can entrust other users with the compilation of the registers and save time.
- Mandatory data on the DPO
For an external DPO we have removed the mandatory name and surname and left mandatory only the company name and PIVA, this to align with the procedure of the Guarantor Authority that allows you to indicate an external DPO even without name and surname but with company name and PIVA.

Training, job authorizations and subscription deadline notifications
- Permissionsby Task
To make it easier to manage permissions at operation by task, you can link both operations and instructions to operation directly from the organization chart element they belong to. This saves you time and lets you focus on what's important.
- Subscription Expiration Reminder
We've included an automatic emailing system that alerts you 7 and 14 days before a subscription expires, so you don't have to worry and you always know how long it will be before the renewal.
- Management of training courses
We could not miss a section dedicated to training courses on privacy. Insert also all the training activities carried out indicating also the participants. Explore the new section in the organization page.

Sorting of operations, DPO reports in PDF and automatic asset coding
- Automatic asset code
To facilitate the management of the assets, an automatic unique code is generated when they are created. You can then decide whether to customize it or use the one proposed.
- Sorting operations
Now it's easier to manage your registry and compile operations. Now you can also sort them by percentage of completion, focusing on the operations not yet completed to reach 100% and increase your privacy score.
- DPO activity report in PDF
Export the DPO activity report also in PDF format. Track all the activities performed by the DPO, indicate the time period and choose your preferred export format.

Interactive guided tour and customization of privacy policies digital
- New interactive guided tour
When you create a new domain, you have at your disposal a new guided tour of the application that allows you to get acquainted with all the features of UTOPIA and explains through examples how to enter the necessary data to get started.
- Customizable automatic emails
When you use the digital sending of privacy policies you have the possibility to include also the logo of the organization inside the invitation email, in this way you personalize the request respecting the information obligation of the owner of operation.
